#Is your POS compliant with Verifactu? What you need to know
If you own a bar, restaurant, store, store, hair salon or any business where you charge with a POS, the Verifactu regulations directly affect you. And no, it is not optional.
⚠️Deadlines you need to remember
1 January 2027 for companies | 1 July 2027 for self-employed. Fines of up to 50.000€ for non-compliance.
The good news: You don’t have to change all your equipment. Your touch screen, ticket printer and cash drawer can stay. What needs to be upgraded is the software that generates the tickets.
#Dataphone, Cash Register or POS: Clarifying concepts
This is the most common confusion among merchants. We explain it clearly:

ℹ️Golden rule
The dataphone collects, the POS bills. Verifactu only affects systems that generate tickets or invoices, not those that only process payments.
#What does Verifactu require from your POS?
For your POS to be legal as of 2027, your software must meet 5 technical requirements:
1Unalterable records
Each sale generates a digital record that cannot be modified or deleted.
If there is an error, you must make a credit memo or amendment invoice, not “delete” the sale.
Benefit to you: Full protection from tax inspections.
2Chained traceability (Hash)
Each ticket is linked to the previous one via a fingerprint (hash).
It is like a chain: if someone tries to remove a link, it is immediately noticed.
Analogy: Like blocks in a blockchain chain.
3QR code mandatory on all tickets
All tickets must include a QR code that allows you to verify the transaction.
Your customer can scan it and verify that the invoice is valid.
**Important:**This applies even to small 2€ tickets.
4Electronic signature (in Non-Verifactu mode)
If you decide to NOT send the records automatically to the IRS, the system must sign electronically each invoice.
If you take advantage of the envío automático (Verifactu modality), the signature is not mandatory because Hacienda already has the record.
5Data retention (minimum 4 years)
Records must be safely stored for at least 4 years.
Your software should allow you to retrieve any old tickets when you need them.
#Is my current POS compliant or do I need to change it?
It depends on the type of system you use. Here is the specific answer for each case:
#❌ Traditional cash register (keys and paper roll)
Does it comply? NO by itself.
Problem: These boxes do not generate traceable digital records, electronic signatures, or QR codes.
Solution:
- Option 1: Replace it with a modern POS
- Option 2: Supplement it with compatible billing software (impractical for high-volume merchants)
⚠️Important for traditional merchants
If you have a cash register more than 10 years old, you almost certainly need to replace it. Contact your supplier as soon as possible.

Compliant? Probably needs upgrade.
What to do:
- ✓Contact your current software vendor.
- ✓Ask directly: 'Does your solution comply with Royal Decree 1007/2023 and Order HAC/1177/2024?'
- ✓Ask for the Responsible Declaration of compliance
- ✓Ask when the upgrade will be available and if it has additional cost
Signs of alarm:
- They tell you they are “working on it” with no specific date
- They don’t know what you are talking about
- They ask you for a very high cost for the upgrade
In that case: Look for alternatives NOW. Don’t wait.
#✅ Modern POS with upgradeable software
Does it comply? You only need the software upgrade.
Good news:
- You keep all your hardware (display, printer, drawer, etc.)
- You only change the software
- Most serious vendors are adapting their systems
✅Merchants with modern POS systems
If you bought your POS in the last 3-5 years from a reputable vendor, it is very likely that you only need a software upgrade.
#Verifactu Calendar: Dates you CANNOT forget
129 July 2025 - Deadline for manufacturers
The Software manufacturers can only market Verifactu-adapted systems.
For you as a merchant: Verify that the POS you purchase after this date is ALREADY compliant.
21 January 2027 - Mandatory for corporates
The corporations (legal entities, S.L., S.A., etc.) are obliged to use Verifactu.
If you are a company: This is YOUR deadline.
31 July 2027 - Mandatory for self-employed
Obligatory for all other taxpayers (self-employed, individuals).
If you are self-employed with a trade: This is YOUR deadline.
Tip: Don’t wait until the last minute. If your vendor doesn’t have the upgrade ready months in advance, that’s a bad sign. Start looking for alternatives now.
#Fines and penalties: What happens if I don’t upgrade my POS?
The consequences of not complying with Verifactu are very serious:
⚠️Financial penalties
- Up to 50.000€ per fiscal year for using non-compliant software
- Inspections and priority requirements of the Tax Agency
- Invalid invoices: your tickets might not have full tax validity
Also:
- ✗Your business customers may reject your tickets if they do not comply with the regulations
- ✗Problems deducting expenses and recovering VAT
- ✗Possible temporary business closures in serious cases
- ✗Reputational damage in the face of inspections
**The Reality:**If your competition complies and you don’t, your customers may prefer to go where they are given valid invoices, especially business customers.
#Special cases according to business type
#🥩 Butchers, fishmongers and greengrocers (sales by weight)
What is mandatory?
The final ticket that you deliver to the customer must comply with Verifactu (unalterable registration, QR, etc.).
How you arrive at that ticket is up to you.
ℹ️Scale-TPV Integration
Balance-TPV integration is NOT mandatory by law, but YES highly recommended for:
- Avoid manual transcription errors
- Speed up cashing up (especially at peak times)
- Reduce queues in your store
Two options:
- Scale integrated with POS: Weight passes automatically → Compliant ticket
- Independent scale: You enter the weight manually at a POS that does comply
#🍕 Bars and restaurants (hospitality)
Peculiarities:
- High daily ticket volume
- Need for offline operation (if internet goes down)
- Integration with orders and kitchen
- ✓Your POS must be able to run without internet and sync afterwards.
- ✓All bar tickets must have QR (even 1,20€ coffee)
- ✓Kitchen orders do NOT need QR (they are internal), only customer tickets
- ✓If you use delivery apps (Glovo, Uber Eats), verify that their billing system is compliant.
#🛒 Online retailers (ecommerce)
Does your online store generate invoices? Then you are also affected.
The system that generates your invoices must comply with:
- Your ERP
- Your billing plugin (ex: WooCommerce, PrestaShop, Shopify)
- Your payment gateway with integrated billing
⚠️Ecommerce with platforms
If you use Shopify, WooCommerce, PrestaShop, etc., contact them to confirm that their billing module is adapted to Verifactu.
#💇 Hairdressers and beauty salons
Particularities:
- Low volume of daily invoices (20-40)
- Need for appointment management (not mandatory to be integrated)
- Mixed invoices (products + services)
Recommended solution:
- Simple POS compatible with Verifactu
- You don’t need a very complex system
- Prioritize ease of use over advanced features
#6 questions you should ask your POS provider
Before renewing or signing up for a new POS, ask these must-ask questions:
1Do you comply with RD 1007/2023 and Order HAC/1177/2024?
Correct answer:“Yes, we fully comply.”
Warning signs:
- “We are working on it” (no specific date)
- “We think so” (must be 100% sure)
- “We are not familiar with that regulation”
2Do you have the Responsible Declaration of Compliance?
Software manufacturers must issue a Responsible Declaration confirming that their system complies.
Ask for it in writing. If they don’t have it, bad sign.
3Do the tickets include verifiable QR code?
Must be: A QR that allows you to verify the invoice by scanning it.
NOT good: A QR that only directs to your website or to download an app.
4When will the update be available?
Expected answer: “It is already available” or “it will be ready before [specific date with margin]”
Signs of alarm:
- “We don’t know yet.”
- “Probably mid-2027” (too late)
5Is there additional cost for upgrading to Verifactu?
Some vendors charge for adapting their software. This is important to know now.
Question:
- how much does the upgrade cost?
- is it a one-time payment or does the monthly fee go up?
- are there any hidden costs (training, data migration, etc.)?
6Does the system work without an internet connection?
You must be able to:
- Record sales offline
- Synchronize when connection returns
This is crucial if in your area the internet often fails.
❌If the answers aren't clear...
If they give you the runaround or say “we’ll see,” look for another provider. Don’t risk your business with software that won’t deliver on time.
#3 options to comply with Verifactu without the hassle
If your current situation is chaotic (old cash register, Excel, handwritten tickets…), here are your options:
#Option 1: Upgrade your current POS
When to choose this option?
- Your current provider offers compatible upgrade
- The cost is reasonable
- You trust their technical support
Advantages:
- You keep the hardware (display, printer, etc.)
- You only change the software
- Less learning curve (similar interface)
Disadvantages:
- You depend on your provider to deliver on time
- Some charge abusive prices for upgrading
#Option 2: Hire a modern cloud POS
**When to choose this option?
- Your current POS is too old
- Your provider does not adapt or charges too much
- You want to take the opportunity to modernize
Advantages:
- Works from any tablet or computer
- You only need ticket printer and dataphone
- No expensive proprietary hardware
- Automatic updates
- Access from anywhere
Disadvantages:
- Need internet (although many work offline and sync afterwards)
- Learning curve when switching systems
✅Cloud-based POS + BeeL.es for invoicing
A cost-effective option: use a cloud POS to manage sales and BeeL.es (from 2,50€/month) to issue invoices with Verifactu.
#Option 3: Free AEAT App
When to choose this option?
- You issue very few invoices per month (less than 10)
- Only invoices to companies (B2B) with all customer data
- You don’t need advanced features
- You want free option
Advantages:
- Totally free of charge
- 100% Verifactu compliant (obviously, it’s from the IRS)
- No technical knowledge required
Disadvantages:
- CRITICAL: does NOT allow simplified tickets (all must have identified receiver)
- NOT suitable for businesses with volume (bars, stores with many daily tickets)
- Impossible to export data to another system afterwards
- Unfriendly interface
- No management functions (stock, customers, reports)
❌The AEAT app is NOT suitable for bars, stores or businesses.
Critical limitation: The official app does NOT allow issuing simplified tickets without identifying the customer. Each invoice must include name, TIN and address of the receiver.
This makes it USELESS for:
- Bars and restaurants (anonymous customers)
- Physical stores (retail)
- Any commerce with tickets to final consumer
Only suitable for freelancers who invoice exclusively to companies (B2B) with low volume.
#Grants and subsidies to digitize your POS
#Digital Kit (deadline expired)
The Kit Digital program of the Government finalized its term on October 31, 2025.
What did it cover?
- Electronic invoicing systems
- Modern POS
- Business management software
- Up to 12.000€ depending on business size
⚠️Digital Kit no longer available
The deadline to apply for the Digital Kit already ended (October 31, 2025). If you did not apply in time, you will have to bear the cost of adaptation to Verifactu.

Although Kit Digital is no longer available, check with your autonomous community:

#Frequently asked questions about POS and Verifactu
Does the dataphone have to be approved for Verifactu?
NO. The dataphone only processes payments, it does not issue invoices.
What Verifactu must comply with is the software that generates the tickets/invoices (your POS or billing system).
You can continue to use your current dataphone without any problem.
Does the ticket printer need special approval?
NO. The printer only prints what the software sends to it.
If the software complies with Verifactu, the printer works as usual.
You don’t need to change your receipt printer.
Can I still use my lifelong cash register?
It depends:

If it is a basic cashbox that only adds up and stores money (without generating digital records) → It does NOT deliver on its own. You will need to complement it with compatible billing software.

If it is a modern cash register (within the last 5-10 years) that generates tickets with fiscal data → Your software must be adapted to Verifactu. Contact the manufacturer.
In most cases, older cash registers do NOT comply and need to be replaced.
Are verifactu and e-invoice the same thing?
NO, they are different but complementary regulations:

Verifactu (RD 1007/2023): Regulates how invoices are recorded → Integrity, traceability, QR codes, unalterable records

E-invoice (Create and Grow Law): Regulates the format of business-to-business (B2B) invoices → XML InvoiceE, mandatory electronic exchange
Your POS must comply with BOTH regulations.
What if my internet goes down in the middle of rush hour?
The system must be able to operate offline:
- Record sales locally at your POS (without internet)
- Generate tickets with valid QR
- When the connection returns, automatically synchronize the records
This is contemplated in the regulations. Ask your provider if their POS works offline.
Is it mandatory for me to change my POS provider?
Not necessarily.
First: Ask your current provider if they will adapt their software to Verifactu.
Many serious vendors are already working on it and will offer the upgrade.
Only look for alternatives if:
- Your provider is NOT going to adapt
- They charge you an abusive price for the upgrade
- The answers are vague or without concrete dates
How much does it cost to upgrade my POS to Verifactu?
It depends on your provider:
- Some providers: Upgrade Free included in the monthly fee
- Other providers: One-time payment of 200€-500€
- Some: Raise monthly fee (2€-10€/month more)
Ask your provider NOW for exact costs and plan.
Do I have to send all tickets to the IRS in real time?
You have two options (your choice):

Automatic sending to AEAT → The POS sends each ticket automatically to the Inland Revenue (more secure, less work for you)

Local registration → You save the tickets in your system and send them only if the tax office asks you for them (you must keep them 4 years minimum)
Most businesses choose option 1 for convenience and security.
Is my delivery POS (Glovo, Uber Eats) Verifactu-compliant?
You must verify with each platform:
- Glovo, Uber Eats, Just Eat, etc. are adapting their systems
- Contact them to confirm that their invoices are Verifactu compliant
Important: If you use multiple platforms, verify each.
What happens to safe tickets stored on paper?
Physical paper tickets are NOT sufficient to meet Verifactu.
You need digital records with:
- Traceability
- Chained hash
- Electronic preservation minimum 4 years
Conserving paper tickets is fine as a backup, but does NOT replace the mandatory digital record.
Can I use Excel to keep track and then switch to Verifactu?
NO.
Excel does not generate unalterable records, hashes, QR codes, or meet any Verifactu requirements.
You need certified software from the first ticket you issue after your deadline (January or July 2027).
Do internal tickets (e.g., inter-store transfers) also need QR?
NO.
They only need to fulfill Verifactu the tickets/invoices you deliver to customers.
Internal documents (transfers, delivery notes, kitchen orders, etc.) Do not need QR or comply with Verifactu.

You have between 12 and 18 months to prepare (from now until January/July 2027).
